Privacy Policy

For the Antiques Dealers Fair Limited and its fairs, dated 27 April 2018.

We are committed to keeping your personal data secure and to defending your privacy. We have adopted suitable organisational and technical measures to protect your data, and we are registered with the UK Information Commissioner’s Office as a Data Controller, reference Z8452545. This Privacy Policy describes what data we may hold about you, what we use it for, how long we will retain it and your rights in relation to the data.

Information we hold about you

Log Data

We receive information when you view content on our websites. This Log Data includes information such as your IP address, browser type, operating system, the referring web page, pages visited and search terms. However, we do not ourselves have the ability to identify you personally from this data, and we will not share it with any third parties, except under the circumstances detailed below in Exceptions. We use Log Data only for keeping our websites secure and for measuring the comparative level of interest in our fairs. We will retain this data for a maximum of 18 months.

Address Data

If you register your e-mail address with us, we will send you three or four newsletters annually, containing information about our upcoming events. If you register your postal address with us, we will mail printed tickets to you in advance of those fairs for which you have indicated an interest. Where appropriate, we share your Address Data with contractors for the purpose of efficiently sending out the materials you have requested, and then only such Data as is necessary for the purpose. We will never share your Address Data with any other third parties, except under the circumstances detailed below in Exceptions. We normally use Address Data only for the purpose of sending you such information and/or tickets as you have requested. In exceptional cases, we may use Address Data to provide you with other information which may be important to you in connection with our business, for instance if a fair is moved or cancelled, or for major changes to our terms or policies. We will retain this data until either (a) you tell us to delete it, or (b) we discover that it is no longer accurate, or (c) we cease to do business.

Other Personal Data

If you request any special assistance at a fair, or have any other special requirements, we will do our best to assist. We will never share such information with third parties, except if it is necessary in order to help you, or under the circumstances detailed below in Exceptions. We will only use such information for the purpose of assisting you and we will delete it after it ceases to be relevant, or earlier if you tell us to do so.

Contractual Data

If you exhibit at one of our fairs, or if you supply us with goods or services, we will retain data which is relevant for the fulfilment of our contract with you, and for accounting, taxation or other regulatory purposes. We will never share this data with third parties except to the extent necessary to fulfil the contracts, or under the circumstances detailed below in Exceptions. We will use the data for contractual purposes and, unless you tell us not to, for future marketing of our fairs to you. We will retain this data for a maximum of six years after we last did business with you.

Information we do not hold about you

We do not retain any other data about you than as described above. We do not use “cookies”, we do not share your data in any form with third parties for “analytics” purposes and we do not accept advertisements for third parties on our websites or in our other communications with you, except for organisations sponsoring or otherwise partnering with us in producing the fairs. We do not share your personal data with such sponsors or partners.

Our services are not directed to children, and you may not register with us if you are under the age of 16. You must also be old enough to consent to the processing of your personal data in your country.

International transfers of data

Our webserver and e-mail services are hosted by pair Networks, Inc in the United States. Our e-mail newsletters are sent via MailChimp (The Rocket Science Group LLC), also in the United States. Both these organisations comply with the EU-US Privacy Shield principles and are subject to the investigatory and enforcement powers of the US Federal Trade Commission and other authorised statutory bodies. Your rights

You control the personal data you share with us. At any time, you can request to see this data, or for us to amend it. You can request that we delete your Address Data and Other Personal Data. You can also request that we cease using your Address Data for sending you newsletters, or printed tickets. If you are an exhibitor, you can request that we cease using Contractual Data for continued marketing of our fairs to you.

If you wish to raise a concern about our use of your information (and without prejudice to any other rights you may have), you have the right to do so with your local supervisory authority or with our supervisory authority, the Information Commissioner’s Office. Exceptions

Notwithstanding anything to the contrary in this Privacy Policy or controls we may otherwise offer to you, we may preserve, use, or disclose your personal data if we believe that it is reasonably necessary to comply with a law, regulation or governmental request; to protect the safety of any person; to protect the safety or integrity of our websites; to address fraud, security, or technical issues; or to protect our rights or property or the rights or property of those who use our services. However, nothing in this Privacy Policy is intended to limit any legal defences or objections that you may have to a third party’s, including a government’s, request to disclose your personal data.

In the event that we are involved in a bankruptcy, merger, acquisition, reorganisation, or sale of assets, your personal data may be sold or transferred as part of that transaction. This Privacy Policy will apply to your personal data as transferred to the new entity.

We may revise this Privacy Policy from time to time. You can always find the current version on our websites.
