How To Do a Mass Mailing

Stamps.com enables you to print postage and addresses to groups of people in one print job. The addresses must be stored in your Address book. You can select the recipients individually (Option A below), use an address book group (Option B), or use a Microsoft Word mail merge (Option C). Regardless of the method you choose, the Stamps.com application will automatically verify and correct the addresses that you have included. This can be very useful for things such as customer prospect lists.

You can create different Groups for different purposes. Set up and save Groups for customer promotions, billing, holiday cards, invitations, and anything else you can think of.

Note: If you choose to print your addresses and postage on labels for use with envelopes, the USPS requires customers to use special fluorescent labels, which are available from the Stamps.com Store. You do not have to use fluorescent labels with packages and flats, only with envelopes.

Option A: One-Time Mass Mailing

This option is recommended if you will send mail to the mailing list only once. You can use this option with any address book (either the Stamps.com address book or an address book from third-party software).

  1. Log in to the Stamps.com software.
  2. In the left navigation bar, click Envelopes, Packages, or International.
  3. Click the Addr button to open the Address Book.
  4. Select the desired address book from the Address Book drop-down list.
  5. Select the check box for each desired recipient.
  6. Click OK.
  7. Specify all other postage options (class of mail, postage amount, envelopes or labels, and so on) to calculate the postage.
  8. Place the proper envelopes or labels in your printer. Make sure the envelopes or labels you place in your printer are the same as the labels you selected for Printing On.
  9. If you have not printed this type of postage before, you might want to use the Print Sample function to help avoid misprinted postage. Printing samples is free.
  10. Click Print Postage.

Option B: Repeated Mass Mailings

This option is recommended if you will send mail to the mailing list multiple times. You can use only the Stamps.com address book with this option because groups are not supported for third-party address books.

  1. Log in to the Stamps.com software.
  2. In the left navigation bar, click Envelopes, Packages, or International.
  3. Click the Addr button to open the Address Book.
  4. Select the Stamps.com address book from the Address Book drop-down list.
  5. Click New Group. The Group Information dialog box opens.
  6. Specify a name for the group in the Group Name field.
  7. In the Contacts list, select the members for this group. Use CTRL-click to select multiple contacts.
  8. Click Add to assign these contacts to this group.
  9. Click OK.
  10. In the Address Book dialog box, select the check box for the group that you just created, then click OK.
  11. Assign all other postage options (class of mail, postage amount, envelopes or labels, and so on) to calculate the postage.
  12. Place the proper envelopes or labels in your printer. Make sure the envelopes or labels you place in your printer are the same as the labels you selected for Printing On.
  13. If you have not printed this type of postage before, you might want to use the Print Sample function to help avoid misprinted postage. Printing samples is free.
  14. Click Print Postage.

Note: You can select both groups and individuals for a mass mailing. If you select an individual who is also a member of a selected group, postage for that person will be printed twice.

Option C: Microsoft Word Mail Merge

To use this option, you must have the Microsoft Word plug-in installed. Click here for detailed instructions on performing a mail merge.
